REGIONAL OPERATIONS MANAGER

- Job description: Regional Operations Manager – 1 person in Ho Chi Minh City.
As a member of HLG Vietnam, you will report to the foreign Director and lead team members in 3 main fields: Administration, Human Resources and Accounting. You will work with Vietnamese and international colleagues from all departments in HCMC as well as other cities in Vietnam and in the world. Your main duties will be:
Administration:
- Review and approve contracts with suppliers for Administration, Office Management, Human Resources and Accounting.
- Prepare and/or review periodical reports for Vietnamese authorities, applications for business licenses, business registration certificates, lawyer licenses.
- Review and approve or get approval, then follow up all tasks related to lease, fit-out, renovation, decoration, maintenance, cleaning, insurance for all the offices in Vietnam.
- Review and approve or get approval for IT equipment and other working tools.
- Review, approve and follow up business trip arrangements for team members and visitors.
- Liaise between the Director and related team members for his agenda, business trips or any necessary matters.
- Coordinate for matters involving different teams.
Human Resources:
- Lead and perform all tasks related to employees, from their recruitment and onboarding process until their offboarding process.
- Negotiate and prepare labor contracts and related documents.
- Conduct the annual appraisal process and related tasks.
- Review and approve or get approval for staff benefits (annual health check-up, company trips, etc.).
- Listen to and discuss with team members when they have troubles; detect any problems/risks in terms of operations, general administration and HR; propose solutions and/or inform the Director in a timely manner.
- Organize the annual general meeting when it is in Vietnam and coordinate with the host office when it is in another country.
Accounting:
- Coordinate between the Director and Accounting team for any matters related to Accounting and Finance.
- Review and sign payment requests and receipts when necessary.
- Review and approve all online payments.
- Update Accounting team about salary changes, review the monthly payroll and social charges, then approve their online payments.
Other tasks:
- Participate in Company’s general activities such as seminars, events, training sessions, etc.
- Other responsibilities as assigned.
- Requirements
- Vietnamese national.
- Educational level: Bachelor Degree with major in related fields such as Business Administration, Human Resources, International Relations, Foreign Languages, etc.
- 5 years of experience in a similar position and in an international environment.
- Languages: Good command of English is a must (reading, speaking and writing). French would be an asset.
- Ability to work both independently and in a team, under high pressure and with tight deadlines.
- Detail-oriented, patient, analytical, flexible, eager to learn, hard-working, efficient, dynamic, ambitious.
- Professional manners with communication skills.
- Working conditions
- Contract duration: 1 year renewable.
- Probation period: 2 months.
- Working time: from Monday to Friday, 8 hours/day.
- Workplace: Unit 2, Level 40, Bitexco Financial Tower, 2 Hai Trieu Str., Ben Nghe Ward, Dist. 1, HCMC.
- Salary: negotiable based on candidate’s experience.
